By using Roostmate, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, please do not use our Service.
2. Information We Collect
2.1 Account Information
When you create an account, we collect:
- Email address - Used for account identification, authentication, and communication
- Full name - Used to personalize your experience
- Profile photo (optional) - Avatar image or emoji you choose to represent yourself
- Account preferences - Timezone, temperature units, notification settings, and theme preferences
2.2 Flock and Bird Data
To provide our flock management features, we collect:
- Flock information - Names, descriptions, locations, and photos of your flocks
- Bird profiles - Names, breeds, species, sex, birth dates, health status, personality traits, and photos
- Lineage data - Parent-offspring relationships you record
2.3 Health and Observation Data
- Health records - Symptoms, observations, treatments, and medications you log
- Veterinary visits - Vet names, clinic names, diagnoses, recommendations, and costs
- Health images - Photos you upload for health tracking purposes
2.4 Egg and Production Data
- Egg collections - Dates, quantities, quality assessments, sizes, colors, weights, and notes
- Egg images - Photos you upload of eggs
2.5 Incubation Data
- Incubation batches - Batch names, dates, incubator settings
- Environment logs - Temperature and humidity readings
- Candling records - Observations, results, and images
- Hatch records - Timing and outcome data

- Expenses - Feed costs, supplies, veterinary expenses, and vendor information

2.8 AI Conversation Data
When you interact with Beaky, our AI companion:
- Messages - Your questions and Beaky's responses are stored to maintain conversation history
- Context data - Relevant flock information is shared with the AI to provide personalized guidance
- Images for analysis - Photos you submit for Smart Snap analysis (droppings, eggs, birds, coops)
2.9 Automatically Collected Information
- Device information - Device type, operating system, and app version
- Usage data - Anonymous analytics about feature usage to improve the app
- Log data - Error reports and performance data

4. AI and Machine Learning
Roostmate uses artificial intelligence to power Beaky, your AI companion. Here's how your data interacts with our AI systems:
4.1 How Beaky Works
- When you chat with Beaky, your messages are processed by AI models to generate helpful responses
- Beaky receives context about your flock (bird names, breeds, recent activity) to provide personalized guidance
- Your conversation history is stored so Beaky can reference previous discussions
4.2 Smart Snap Image Analysis
- Photos you submit for analysis are processed by AI models
- Images are stored securely and associated with your account
- Analysis results and recommendations are saved for your reference
4.3 AI Data Processing
- AI processing is performed using Amazon Web Services (AWS) Bedrock
- Your data may be processed by AI models from Anthropic (Claude)
- Conversations are not used to train AI models
- AI-generated suggestions (like task recommendations) include confidence scores to help you evaluate them
5. Data Sharing and Third-Party Services
5.1 We Do Not Sell Your Data
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
5.2 Service Providers
We use trusted third-party services to operate Roostmate:

- Sharing invitations expire if not accepted
5.4 Legal Requirements
We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or government agency).
6. Data Security
We implement appropriate technical and organizational security measures to protect your data:
- Encryption at rest - All database data is encrypted
- Encryption in transit - All data transfers use HTTPS/TLS
- Secure authentication - Passwords are securely hashed; multi-factor authentication is available
- Access controls - Your data is only accessible by authenticated requests with your credentials
- Private infrastructure - Our databases are not publicly accessible
- Regular backups - Data is backed up regularly for disaster recovery
While we strive to protect your personal information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.
7. Data Retention
- Account data - Retained as long as your account is active
- Flock and bird data - Retained as long as your account is active
- Conversation history - Retained to provide continuous AI assistance
- AI session data - Active sessions expire after 8 hours of inactivity
- Backups - Retained for up to 30 days for disaster recovery
When you delete your account, we delete your personal data from our active systems. Some data may remain in backups for a limited period before being permanently removed.
8. Your Rights and Choices
8.1 Access and Portability
You can access your data at any time through the app. We are working on data export features to allow you to download a copy of your data.
8.2 Correction
You can update or correct your personal information through your account settings or by editing your flock and bird profiles.
8.3 Deletion
You can request deletion of your account and associated data through the app settings. Account deletion will remove:
- Your profile and account information
- All flocks and birds you own
- All associated records (eggs, health, tasks, etc.)
- Conversation history with Beaky
8.4 Communication Preferences
You can manage notification preferences in the app settings, including:
- Push notifications
- Email communications
- Reminder settings
8.5 Rights for EEA/UK Residents
If you are located in the European Economic Area (EEA) or United Kingdom, you have additional rights under GDPR, including:
- Right to access your personal data
- Right to rectification of inaccurate data
- Right to erasure (“right to be forgotten”)

8.6 Rights for California Residents
If you are a California resident, under the CCPA you have the right to:

Roostmate is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us so we can delete such information.
10. International Data Transfers
Roostmate operates primarily in the United States. If you access our Service from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States where our servers are located. By using our Service, you consent to this transfer.
